The terms that apply to catering bookings with us.
Last updated 21 August 2026. These terms apply to catering bookings with The Gipsy Hill Smokehouse Ltd.
1.1 Bookings are only regarded as confirmed upon receipt of a deposit.
2.1 The Customer is required to pay a deposit of 50% to The Gipsy Hill Smokehouse Ltd in order to confirm the function. This deposit is payable on confirmation of the booking. Payment is to be made by bank transfer.
2.2 Any outstanding charges must be paid in full 10 days before the event.
2.3 Any queries concerning the account, or any complaints, must be submitted in writing within 7 days of the date stated on the invoice.
Final numbers for any function must be confirmed by email at least 10 working days before the date of the event. Should the number in your party decrease, we require 5 working days' notice, failing which a charge will be made for the original number of diners. Similarly, 5 working days' notice is required for any additional diners.
The Gipsy Hill Smokehouse Ltd may cancel a booking without incurring any liability if:
4.1 The venue is closed due to events or circumstances beyond its control, such as fire, water leakage, or by order of a public authority.
4.2 The Customer becomes insolvent or enters into liquidation or receivership.
5.1 All cancellations by the Customer must be made in writing to the Events Manager.
5.2 Events of 50 people or more. Cancellations more than 3 months before the event — no charge. Cancellations between 3 months and 1 month — 25% deposit. Cancellations 1 month or less before the event — 100% of minimum spend.
5.3 Events of fewer than 50 people. Cancellations not less than 14 days before the event — no charge. Cancellations between 14 and 7 days — 25% deposit. Cancellations 7 days or less before the event — 100% of minimum spend.
6.1 The Customer agrees to the minimum payment and maximum guest numbers set out in their booking confirmation. This charge includes VAT, food and beverage, and any additional services or equipment hire agreed.
6.2 All prices are current at the time of quoting and are inclusive of VAT or other government taxes where appropriate. The Gipsy Hill Smokehouse Ltd reserves the right to amend prices to take account of any change in the rate of VAT or other taxes.
The fixing of signs, displays, posters and similar may only be carried out with the consent of the General Manager.
8.1 The Gipsy Hill Smokehouse Ltd will not be liable to the Customer, or to any person claiming through the Customer, for any loss or damage caused by or arising from its failure to carry out any obligation under this agreement due to anything beyond its control.
8.2 The Gipsy Hill Smokehouse Ltd will not be responsible to the Customer, or to any person claiming through the Customer, for any loss of business or profit or any other consequential loss howsoever arising, including delay in or failure to carry out any of its obligations under this agreement.
8.3 The Customer agrees to be responsible for, and shall indemnify The Gipsy Hill Smokehouse Ltd against, all damage caused to the venue and its fixtures and fittings by any act, default or negligence of the Customer or the staff, agents or guests of the Customer.
8.4 The Gipsy Hill Smokehouse Ltd excludes any liability to the Customer resulting from any negligent act or omission of The Gipsy Hill Smokehouse Ltd or its agents or employees in connection with this agreement or otherwise, except that its liability to the Customer shall not be limited for death or personal injury resulting from its own negligence or that of its agents or employees.
8.5 The Gipsy Hill Smokehouse Ltd shall not be held responsible for death or bodily injury arising from any cause whatsoever to any person visiting the allocated space on behalf of, at the invitation of, or at the request of the Customer, or to any person employed by the Customer, whether such death or injury occurs within the allocated space or in any other part of the venue.
9.1 The Customer is responsible for the orderly conduct of the function and shall ensure that nothing is done which constitutes a breach of the law, or which causes a nuisance, or which infringes or risks the forfeiture or endorsement of any licence for the sale of wine, beer or spirits, or for music, dancing or exhibition. In particular the Customer shall ensure there is no illegal use of narcotics, betting or gaming.
9.2 The Customer and their staff or representatives agree to comply with the provisions of the Health & Safety at Work Act 1974 whilst on the premises.
This agreement constitutes the entire agreement between the Customer and The Gipsy Hill Smokehouse Ltd. No representation preceding the agreement, nor any variation of the agreement, shall be binding on The Gipsy Hill Smokehouse Ltd unless that representation or variation is in writing and signed by an authorised person at The Gipsy Hill Smokehouse Ltd.
